Inbox
Video walkthrough: Watch on Loom (link coming soon)
The Inbox is where buyer replies land. When someone answers an email you sent from Campaigns, the conversation appears here and on their contact record, so the question and the person are always side by side. Nothing to set up; it’s on from the first email you send.
What You Can Do Here
- Read every reply to your campaign and series emails in one place
- Answer right there, in the same conversation
- See the whole back-and-forth attached to the buyer’s contact
- Archive conversations you’re done with, and find them again later
- Know the moment a new reply comes in
How It Works
Go to Communications in the left menu and click the Inbox tab. The badge on the tab is the number of conversations with something unread.Where replies come from
Every email sent from Campaigns (one-time emails and series emails) carries a reply address that belongs to that buyer’s conversation. When they hit reply, the message comes straight here. Replies to BreederBuddy’s automatic emails, like invoices and application receipts, still go to your own email address, as they always have.Reading and replying
- Click a conversation. Unread ones are bold. You’ll see the buyer’s name, the subject, and the latest message.
- Read the thread, newest at the bottom. Opening it marks it as read.
- Write your reply in the box at the bottom and click Send (or press Ctrl+Enter, Cmd+Enter on a Mac). Format it like any email: bold, italics, colour, bulleted and numbered lists, quotes and links. Add photos into the message with the photo button, or paste or drag them in. Attach files, like a contract or a vet record, with the paperclip (up to 10 files and 25 MB per message). It goes out from your sending domain with your kennel name, and the buyer’s answer comes back to the same conversation. A reply you haven’t sent is kept as a draft on that computer.
- Click View contact to jump to their contact record, where the same conversation appears under their activity.
Archiving
Click Archive on a conversation you’re done with. It moves out of Open and into Archived (the switch at the top right of the Inbox). If the buyer writes again, the conversation comes back to Open on its own. Click New Message (New on a phone) to start a conversation yourself: pick the person, write a subject, and send. It goes out like a reply (from your sending domain, with photos and files if you add them), and their answer lands in the same conversation. The Message button on a contact’s page does the same with them already picked. Use the search box to find a conversation by name, email or subject. Click Mark unread to leave a conversation for later; it shows as unread again in the list and on the Inbox tab. On a contact’s page, the conversations chip opens their conversation (or, if there are several, the Inbox showing only theirs).Knowing when something comes in
A new reply shows up in three places: the bell at the top of the page (click Message to open it), the Communications band on your dashboard, and the Inbox box on the Communications overview. If you use the BreederBuddy app on your phone, you get a notification there too.Tips & Common Questions
A buyer says they replied but I don't see it.
A buyer says they replied but I don't see it.
Check Archived first; an archived conversation comes back to Open when a new message arrives, but it’s worth a look. If they replied to an invoice or an application receipt, that reply went to your own email address, not the Inbox.
Can I start a new conversation from the Inbox?
Can I start a new conversation from the Inbox?
Not from the Inbox itself. Send the buyer a one-time email from the Campaigns tab (add them by name under Who gets it); their reply starts the conversation here.
Do attachments come through?
Do attachments come through?
Yes. Photos and files a buyer attaches to their reply are shown in the conversation and saved on their contact.
Who on my team can see the Inbox?
Who on my team can see the Inbox?
Everyone with access to your BreederBuddy account sees the same Inbox. There’s one conversation per buyer, so two people answering the same message will see each other’s replies.
