Document Manager

Video walkthrough: Watch on Loom (link coming soon)

Document Manager is the one place to export any document from your breeding program. Instead of digging into a dog’s profile or a litter page to find an export button, come here: pick the document, pick the record, and the PDF downloads — pre-filled with your data.

What You Can Do Here

  • Export a Health Record Summary or complete Go-Home Packet for any dog
  • Generate a styled, multi-generation Pedigree Certificate
  • Generate pre-filled AKC Ownership Records, AKC Litter Records, and the UKC Litter Registration
  • Download litter documents — Litter Overview and Litter Weight Report
  • Export invoices, waitlists, blank application forms, and printable contracts
  • Run one-click program reports and forecast PDFs
  • Download your contacts, expenses, and other income as CSV files

How It Works

  1. Go to Document Manager in the left menu (under Breeding Program, print icon).
  2. Find the document you want — they’re grouped by category (Health & Care, Genetics & Pedigree, Sales & Money, and more).
  3. Click Generate PDF (or Download CSV).
  4. If the document is about a specific record, pick it — a dog, litter, invoice, waitlist, application, or contract. Some documents offer quick options first, like which health sections to include or which pedigree theme to use.
  5. The file downloads right away, named after the record you picked.
Looking for files you’ve uploaded (health certificates, photos, signed contracts)? Click Your Uploaded Files & Attachments at the top of Document Manager. See Attachments.

Health Reports

  • Health Record Summary — pick a dog, check the sections you want (vaccinations, deworming, vet appointments, tests, breedings, weights), and download.
  • Go-Home Packet — pick a puppy and get their complete health history in one PDF, ready to hand to the new family.

Pedigree Certificates

Pick a dog, choose a theme (Classic Parchment, Botanical Ivory, Midnight Heirloom, or Blank Page), how many generations to show, and a layout — full certificate or a compact names-only chart.

AKC & Registration Forms

The registration forms (the AKC Ownership Record, the AKC Litter Record, and the UKC Litter Registration, which pre-fills the breed, litter counts, breeding and birth dates, and the sire’s and dam’s registration and contact details) open in an interactive editor before downloading:
  • Click any blue field to edit the value
  • Click an empty area to add a custom text field (shown in orange)
  • Drag a field by the grip handle to nudge it into place
  • Zoom with the controls at the top (50%–200%) for precise edits
When it looks right, click Download and print, ready to send to the registry.

My Templates (your own forms)

Have a form you fill out by hand for every litter or dog — a state litter record, a kennel-club sheet, a go-home card? Upload it once and it works like any other document here.
  1. In My Templates, click Upload your own form and pick the PDF (or a photo/scan as PNG or JPG).
  2. Give it a name and, under This form is about, choose A whole litter or One dog.
  3. Click Upload & map fields. BreederBuddy reads the form and works out where each value goes. This takes about a minute; the card shows Mapping fields… while it runs.
  4. Click Set up fields to check the result. Blue fields prefill from your records, orange ones are left for you to type. Click a field to change what fills it, drag it to nudge it, click empty space to add one, then Save template.
  5. From then on, click Generate PDF, pick the litter or dog, and the form opens prefilled in the same editor as the AKC forms.
Puppy rows fill in the order you set on the litter’s Puppies tab (Pup 1, Pup 2, …), weight grids pull from each puppy’s weigh-ins by day or week, and vaccine or deworming rows pull dates from health records, filtered by product name where the form names one (for example “Safeguard” or “DHPP”). Anything the form already has printed on it, like your name or license number, is left alone.

Reports & Data Exports

Report cards download instantly with sensible defaults. Want different filters or date ranges? Use the Adjust filters on the full report link under the button. CSV exports (contacts, expenses, other income) download your raw data for spreadsheets or backups.

Tips & Common Questions

Yes — most also exist where you’d expect them (a dog’s Health tab, a litter’s page, the Pedigree Viewer). Document Manager just puts them all in one place so you don’t have to remember where each one lives.
That report is available to the account owner only. If you’re a team member, ask the account owner to run it.
Open Set up fields, drag the field where it belongs, or click it and pick a different data field in the panel on the right. Save, and every future copy uses your fix. You can also click Re-map to run the automatic mapping again (a few times per template).
Leave it set to Type later. It shows up as an orange field when you generate the document so you can fill it in before downloading.
No. Templates are private to your account.
