Buyer Portal

Video walkthrough: Watch on Loom (link coming soon)

The Buyer Portal is a private, personalized page for each of your buyers. From one link they can pay their invoices, sign their contracts, see their puppy’s details, and download files you’ve shared — all without creating a BreederBuddy account.

What You Can Do Here

  • Give every buyer their own private portal link
  • Let buyers see and pay their invoices online
  • Let buyers open and sign their contracts, and download signed copies
  • Show buyers their puppy’s details and photos
  • Share files (like vet records or care guides) that buyers can download
  • Show your Venmo, PayPal, Cash App, or Zelle details for buyers who pay that way
  • Add a buyer login to your own website
  • Match the portal to your kennel’s colors

How It Works

Opening and Sharing a Buyer’s Portal

Every contact has their own portal, and every invoice email you send them includes a button to it automatically.
  1. Go to Contacts in the left menu and open the buyer.
  2. Click Open Buyer Portal at the top of their profile.
  3. Their portal opens in a new tab, showing exactly what the buyer sees. To send it to them, copy the address from your browser’s address bar and paste it into a text or email.

What Buyers See

The portal is organized into tabs:
  • Your Dogs (or Your Cats) — any dog where this buyer is set as the owner, with details like date of birth, breed, color, microchip, registration numbers, and a photo gallery.
  • Invoices — each invoice with a full breakdown, payments applied, and the remaining balance. If online payments are on for that invoice and Stripe is connected, a Pay … Online button lets them pay right there. If you’ve added Venmo, PayPal, Cash App, or Zelle details, those show too.
  • Contracts — every contract you’ve sent them for signing, with its status. Signed contracts can be downloaded. Preview-only contracts don’t appear here.
  • Media — files from the buyer’s contact page under Attachments that you’ve marked visible in the Buyer Portal.
  • Recommended Gear — only appears if you’ve published affiliate products.
If a puppy isn’t showing up, open the dog in BreederBuddy and make sure this buyer is set as its owner.

Sharing Photos, Videos, and Documents With a Buyer

There are two places buyers see media in their portal. Puppy photos (Your Dogs tab). Buyers see the photo gallery of every dog where they’re set as the owner.
  1. Open the puppy from Dogs and check its Relationships tab. The buyer should be listed under Owner. If it says “No owner assigned.”, click Assign Owner and pick the buyer.
  2. Open the Gallery tab (under Media & Files in the dog’s side menu) and drop in your photos.
  3. Check each photo’s eye button is green (Visible to public). Hidden photos don’t show in the portal. The same switch also controls whether the photo appears on your public website.
Videos, vet records, and other files (Media tab). Anything you add to the buyer’s own contact page can go in their portal:
  1. Open the buyer in Contacts.
  2. In their side menu, click Attachments (under Documents & Intake).
  3. Drag your files into the upload box. Videos, photos, PDFs, and documents all work, up to 100MB per file.
  4. In the file list, check the Buyer Portal column says Visible. Click it to switch between Visible and Hidden.
The buyer can open or download those files from the Media tab. Files attached to a dog’s profile (like on its Health or Attachments tabs) don’t appear in the portal; add a copy to the buyer’s contact as shown above.

Adding a Buyer Login to Your Website

Returning buyers can get back to their portal from your website without digging for an old email:
  1. Go to Content Manager in the left menu (under Your Online Presence).
  2. Scroll to Add Buyer Portal Login to Your Website.
  3. Click Preview to see the login page your buyers will use.
  4. Click Copy next to the Recommended website link and add it as a button or menu link on your website.
Buyers who use it enter the email they gave you, then type the 6-digit verification code BreederBuddy emails them. The code expires after 10 minutes, so if it has expired they can simply request a new one. They stay signed in on that browser for up to 7 days.

Branding Your Portal

  1. Go to Settings → Branding & Colors.
  2. Under Buyer Portal Theme, choose the colors for the banner, active tabs, and hover states.
  3. Save. The preview on the page shows how the portal banner will look.
Your kennel name and profile picture appear on the portal automatically.

Tips & Common Questions

No. The link in their invoice email opens their portal directly, no password needed. If they come in through the login link on your website, they just enter their email and the 6-digit code BreederBuddy sends them.
Make sure their contact in BreederBuddy has the email address they’re typing in, since the login code only goes to that address. Ask them to check spam for the code, and to use it within 10 minutes. The quickest fix is to open their contact, click Open Buyer Portal, and send them that address directly.
Buyers can pay online with any method you accept — credit and debit cards, Apple Pay, Google Pay, ACH bank transfer, Cash App Pay, and buy-now-pay-later options like Klarna, Affirm, and Afterpay. Choose which ones you accept in Settings → Stripe under Accepted Payment Methods. For Venmo, PayPal, Cash App, or Zelle sent outside BreederBuddy, add your details in Settings → Other Payment Methods, then log the payment on the invoice with Log Manual Payment when it arrives.
If the button is greyed out or says Payment Unavailable, online payment is off for that invoice or Stripe isn’t connected. Open the invoice, check the Online payments switch under Invoice Details, and see Payments Setup to connect Stripe.
Every contact already has a portal, so there’s nothing to turn on. They get a button to it in every invoice email you send. To send it any other time, open them in Contacts, click Open Buyer Portal, and copy the address from the new tab into a text or email. Or give them your website login link from Content Manager (see “Adding a Buyer Login to Your Website” above), and they sign in with their email and a code.
The portal only shows files from the buyer’s own contact page, plus photos in their puppy’s gallery. Health records, certificates, and files attached to a dog stay private. To share one, download it from the dog’s profile and upload it to the buyer’s contact under Attachments, with the Buyer Portal column set to Visible.
The Your Dogs tab shows every dog where that buyer is set as the owner, so the dog’s Owner is set to this contact (common with co-owned or guardian dogs). To remove it, open the dog, stay on its Details tab, click Edit Details, change or clear the Owner box, and click Save. The dog disappears from their portal right away.
Yes. Each buyer’s link is unique to them and can’t be guessed, and the website login uses a one-time code sent to the buyer’s email.
