# Reports

> Puppy Sales Report: how reserved and went-home puppies are counted and why older sales are missing. Run BreederBuddy reports for income and taxes, puppy progress and placement status, puppy sales by breed, color, or size, customer locations by state, and dog birthdays. Download CSV or PDF for tax prep or your accountant, and see application stats in Performance & Insights.

Reports gives you a set of pre-built data views to help you understand your program at a glance — income earned, puppies still in your care, puppy sales, where your buyers live, and more. Pull a report when you need to review your program, prepare for taxes, or just see how things are going.

***

## What You Can Do Here

* Run an income report for this month, quarter, year, or a custom range
* Track every puppy's market status (Available, Reserved, Retained, Went home) and owner
* Break down puppy sales by breed, size, color, coat, sex, or litter
* See which states your customers live in
* List dog birthdays by month
* Download most reports as a CSV spreadsheet, and some as a PDF

***

## How It Works

1. In the left menu, under **Tools & Analytics**, click **Reports**. A list of reports opens below it.
2. Click the report you want.
3. Set any filters at the top of the report (date range, status, group by, etc.).
4. Review the results on screen.
5. Click **Download CSV** (or **Download PDF** where offered) to save a copy. The button shows **Preparing CSV...** while the file is being made, then the file downloads.

## Available Reports

### Income Report

[**Income Report**](https://app.breederbuddy.com/reports/income) summarizes income from your invoices and Stripe for **This month**, **This quarter**, **This year**, or a **Custom range** — gross, fees, taxes, and net. Click **Download CSV** for a spreadsheet you can hand to your accountant. By default only the account owner can see this report (see the FAQ below to share it with your team).

### Puppy Progress Report

[**Puppy Progress Report**](https://app.breederbuddy.com/reports/active-puppies) lists your puppies with their market status (**Available**, **Reserved**, **Retained**, **Went home (Sold)**, or **Unspecified**), litter, and owner. Start from a quick view like **In progress (not gone home)** or **All born puppies**, and use **Group by** to scan by litter, status, or owner. Download as CSV or PDF.

### Puppy Sales Report

[**Puppy Sales Report**](https://app.breederbuddy.com/reports/sales-by-puppy-type) breaks down reserved and sold puppies by **Breed**, **Size**, **Generation / Color Genes**, **Dog Type**, **Coat**, **Sex**, or **Litter**, so you can see what's selling. Download as CSV or PDF.

### Customer Locations

[**Customer Locations**](https://app.breederbuddy.com/reports/customer-locations) gives you a state-by-state count of where your contacts live, including the split between owners and non-owners. Switch between **Non-Archived**, **All**, and **Archived Only** contacts.

### Birthday Report

[**Birthday Report**](https://app.breederbuddy.com/reports/birthdays) lists your dogs' birthdays. Pick a month (or **All months**) and click **Download CSV** to save the list.

### Performance & Insights

[**Performance & Insights**](https://app.breederbuddy.com/analytics) (left menu, under **Your Online Presence**) shows your application numbers — total submissions, how many came from Google Ads versus organic or direct, how many became customers, and submissions over time. Website visitor panels show sample numbers until your website is connected.

## Tips & Common Questions

> **Why can't I see the Income Report?**
>
> By default, only the account owner can open the Income Report. The owner can let team members see it: open **Settings → User Administration**, and in the **User Roles** section tick **Allow secondary users to access Income Report**.

> **Why are my Income Report numbers missing or off?**
>
> The Income Report pulls from Stripe and your invoices, so results depend on your Stripe connection and tax settings. Check that Stripe is connected (see [Payments Setup](https://breederbuddy.com/docs/features/buyer-sales-management/payments-setup.md)), and reach out through the chat if something still looks wrong.

> **How does the Puppy Sales Report count reserved and went-home puppies?**
>
> It counts the moment each puppy's status was changed. A puppy is counted under **Reserved** on the day you marked it **Reserved**, and under **Went home (Sold)** on the day you marked it **Sold**, as long as that day falls in the **Period** you picked. A puppy that was reserved and then went home counts once in each. If you changed a puppy's status more than once, only the latest change to that status counts.

> **Why doesn't the Puppy Sales Report show older sales?**
>
> The report is built from the dates BreederBuddy recorded each status change, not from the real sale dates in your past. A puppy you added to BreederBuddy already marked **Sold** is counted on the day you added it, and status changes from before BreederBuddy started recording them aren't counted at all. So a **Custom range** that reaches back before you started using BreederBuddy can come up empty. Every status change you make from now on is counted on the day you make it.

> **Can I share a report with my accountant?**
>
> Yes. Click **Download CSV** on the report and send them the file. They can open it in Excel or any spreadsheet tool.

> **How current is the data in reports?**
>
> Reports pull live data from your BreederBuddy account every time you open them, so they always reflect your most current records.

> **A puppy is missing from my Puppy Progress Report. Why?**
>
> The default **In progress (not gone home)** view only shows born puppies without an owner, and leaves out puppies marked Sold. Switch to **All born puppies** to see everyone.
