# Buddy Intake

> Upload PDFs, photos, and spreadsheets (AKC registration papers, Embark and OFA health results, vet and vaccine records, pedigree charts, litter lists) and let Buddy file them and fill in your dog records for you. Review everything before it's saved, and undo an import with one click.

# Buddy Intake

***

Buddy Intake takes the paperwork piling up on your desk, like registration papers, health test results, vet records, and pedigree charts, and files it for you. Drop in a PDF, a photo, or a spreadsheet. Buddy reads it, works out which dog it belongs to, and shows you exactly what it plans to add before anything is saved.

***

## What You Can Do Here

* Upload PDFs, photos of paperwork, and spreadsheets, up to 5 files at a time
* Have Buddy file documents onto the right dog and fill in missing details like microchip and registration numbers
* Turn DNA and health test reports (Embark, Paw Print Genetics, Wisdom Panel, OFA, and others) into genetics and health records you can review
* Turn a pedigree chart into a family tree in your account
* Bring in a whole list of animals at once from a litter record, puppy list, or roster
* Review, edit, or skip every step before you approve it
* Undo a whole import with one click

## How It Works

### Uploading Your Files

1. Click [**Buddy Intake**](https://app.breederbuddy.com/intake) in the left menu, under **Tools & Analytics**.
2. Drag your files into the dashed box in the middle of the page. Or click **Choose files** and pick them from your computer. You can add up to 5 files at a time.
3. Buddy shows its progress while it reads your files. Most files take under a minute. Big scans can take a few minutes.
4. When Buddy is done, the review screen opens on its own.

You can also drop a file straight onto Buddy's chat on your [**Dashboard**](https://app.breederbuddy.com/), or use the **Import with Buddy** button on a dog's profile. That button files everything straight to that dog.

### Reviewing What Buddy Found

The review screen shows everything Buddy plans to do, as a list of steps. For example: "add a health record," "fill in Maya's microchip," or "attach the document to Luna."

1. **Answer Buddy's questions first.** If Buddy isn't sure about something, it asks at the top under **Buddy needs a few answers first**. Answer each one and click **Save**, or click **Skip this step**.
2. **Look over each step.** To change a step, click the small down-arrow on the right side of that step (**Edit details**), make your changes, and click **Save changes**.
3. **Skip anything you don't want.** Click **Skip** on that step. Click **Unskip** if you change your mind.
4. **Read any warnings.** If a document looks like it belongs to a different dog than the one you picked, Buddy warns you here.
5. **Click Approve & Import** at the bottom. Buddy shows **Importing…** while it works. When it finishes, the import is marked **Imported**.

Nothing is saved to your account until you click **Approve & Import**. If you'd rather not import it at all, click **Discard**.

### Undoing an Import

1. On the [**Buddy Intake**](https://app.breederbuddy.com/intake) page, find the import under **Recent imports** and click it.
2. Click **Undo this import** and confirm.
3. Everything that import created or changed is reversed, and the import is marked **Undone**.

### Finding an Import Again

Every import is listed under **Recent imports** on the **Buddy Intake** page, with its status and the date. Click one to review it, finish it, or undo it. Imports you start from Buddy's chat also have a **Review & import** button right in the conversation.

## What Buddy Can Read

**File types:** PDF, JPG, PNG, WEBP, HEIC (iPhone photos), Excel (.xlsx), CSV, TSV, and plain text (.txt).

**Documents Buddy recognizes include:**

* AKC and other registration certificates
* DNA reports (Embark, Paw Print Genetics, Wisdom Panel) and health test results (OFA, PennHIP, CAER, genetic panels)
* Vaccine certificates and vet records
* Microchip certificates
* Pedigree charts
* Litter records, puppy lists, and rosters with several animals
* Contracts, invoices, and receipts
* Spreadsheets in your own format (no template needed)

For a very long list of animals, a spreadsheet (Excel or CSV) works best.

## Tips & Common Questions

> **What does the Import with Buddy button on a dog's profile do?**
>
> It's Buddy Intake for one dog. Click **Import with Buddy** at the top of the dog's profile and drop in that dog's paperwork (vet records, OFA results, Embark, Paw Print Genetics or Wisdom Panel reports, pedigree photos). Buddy reads the files and suggests updates to that dog only. Nothing is saved until you review and approve it, and the files are also kept on the dog as attachments. On the [**Dogs**](https://app.breederbuddy.com/animals) page, **Import with Buddy** in the cloud-icon menu does the same for a whole spreadsheet or file of dogs.

> **Will Buddy overwrite information I already entered?**
>
> No. Buddy only fills in blanks on your existing records. It never replaces something you've already entered.

> **How many imports do I get?**
>
> Your plan includes a set number of Buddy imports each month. The badge in the top right of the **Buddy Intake** page shows how many you have left, like "2 / 3 left this month," and the count resets each month. If you run out and still have records to bring in, click **Chat with support** on that page and our team will import them for you.

> **What if an import stops partway?**
>
> Nothing is lost. Open the import and click **Fix and retry**. The steps that already ran stay done. Fix or skip the step that stopped, then click **Approve & Import** to finish the rest. You can also click **Undo this import** to reverse the part that ran.

> **What if I upload the same document twice?**
>
> Buddy recognizes records it has already added, so re-importing the same document won't create doubles.

> **It says Buddy Intake needs an active plan. What does that mean?**
>
> Buddy Intake is part of your BreederBuddy plan. Click **Choose a plan** on that screen, or go to **Settings → Subscription**, to start one. See [Subscription & Billing](https://breederbuddy.com/docs/features/account-team/subscription-billing.md).

> **Can I tell Buddy what's in the file?**
>
> Yes. When you ask Buddy to read a file in the chat, tell it what's in there, like "these are four female puppies." Buddy uses what you say to read the file properly.
